Sending a customer email by hand is fine until there are a few thousand of them. F40 Parts were doing exactly that, one at a time, with no dependable record of who had asked not to hear from them and no way of knowing which addresses had quietly stopped working. Both of those gaps cost something. Emailing a person who has opted out is the kind of mistake a business only wants to make never, and repeatedly posting to dead mailboxes is one of the fastest ways to convince a mail provider that everything you send is junk.
We built one system to take over the whole job. It holds the contact database, organised into the groups they sell to, so a campaign can be aimed at the people it is actually relevant to rather than fired at the entire list. Sending is paced deliberately: a campaign goes out steadily across several days instead of landing in one burst, which is a large part of why it arrives in inboxes rather than spam folders.
Before anything leaves, every address is checked twice. Once against the opt-out record, so nobody is contacted who has asked not to be, and once against the mailbox itself, to confirm it is still live. That is the sort of diligence that is easy to describe and tedious enough that it never quite happens when a person is doing it by hand at the end of a working day.
The part that makes it practical is that the system remembers. It keeps what it has already established rather than re-checking the same addresses on every campaign, so on a recent send to 4,500 contacts it only needed to verify a couple of hundred of them. It already knew the rest. The careful version and the fast version stopped being a trade-off.
Underneath, it looks after itself. The dealer contact list stays current and new parts listings are picked up every morning, with nobody having to remember to check. What used to be a manual task that competed with everything else in the day now runs on its own, and does the job more carefully than it was realistically ever going to be done by hand.
